Numero Digital is the data controller for personal data processed in My Casher. Contact us at info@numero-digital.com about anything in this notice.
Account details (your email address, and your name if you give it); business details (trading name, business type, structure, VAT status, year end, logo and brand colours); the records you enter (dates, amounts, categories, suppliers and customers, descriptions, notes); receipts and other files you upload, along with text read from them; team information (invitations you send and who entered or changed a record); and technical logs such as sign-in times and error reports.
To provide the service and your account — performance of our contract with you. To keep the service secure, prevent abuse, apply fair-use limits and fix faults — our legitimate interests. To send service emails such as sign-in codes and invitations — contract. To meet legal duties such as accounting records — legal obligation. Where you opt in to something optional, consent, which you can withdraw at any time.
When you scan a receipt or ask the assistant a question, the relevant text or image is sent to an AI processing service to extract details and suggest a category. Suggestions are advisory only; no decision with a legal effect on you is made automatically. Your data is not used to train third-party models.
We use service providers acting on our instructions: cloud hosting and database services for storing your records and files, an email delivery provider for sign-in codes and invitations, and an AI provider for receipt reading and assistant replies. We also share business records with people you invite to your business. We do not sell your data. Where a provider is outside the UK, transfers rely on UK adequacy regulations or the International Data Transfer Agreement or Addendum.
We keep your records for as long as your account is active. Financial records are typically kept for at least six years, which reflects UK record-keeping expectations. If you ask us to close your account we delete or anonymise your data within 30 days, except where we must keep it longer by law. Records of consent to these documents are kept as proof of that consent.
Data is encrypted in transit and at rest. Access rules mean your records are only visible to you and the people you invite, and receipt files are served through short-lived private links. Sign-in uses one-time codes rather than stored passwords.
Under UK GDPR you can ask for a copy of your data, correct it, delete it, restrict or object to processing, and receive it in a portable format. Contact info@numero-digital.com and we will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
We use only what the app needs to work: storage that keeps you signed in, remembers your selected business, and holds an unsaved entry so you don't lose it. We do not use advertising or third-party tracking cookies.
We may update this notice and will change the date at the top of this page. Material changes will be highlighted in the app.
